Webinar: How to build a business case for RPA using UiPath Automation Hub

Frequently Asked Questions

Q: What would be the benefit of hosting reusable code in Automation Hub versus Orchestrator?

A: Discoverability. When uploading the reusable component into Automation Hub, you provide much more information than what can be exposed in Orchestrator and seen after that in Studio (benefits, manuals, dependencies). Moreover, the component goes through a curation process.
We do have into the roadmap for 20.10, having a private feed for reusable components, which will make the consumption of the reusable components easier in Studio.

Q: Do you have a framework (methodology?) a customer could follow for not only Automation Hub but also overall on how to properly get started and successfully down the road with UiPath RPA?

A: There are the Academy courses for RPA starter which cover this topic. We also have the Academy Courses for Automation Hub (Overview and Deep Dive). For more details around the framework (methodology), please contact a UiPath Sales representative who can present the offering of our Business Consulting team.

Q: Can an organization remove the "Next Step" that calls for Task Capture if they have not released Task Capture?

A: At this point no. But we do have in the roadmap for the summertime a feature to create a tenant settings page, where you will be able to disable the display of the Task Capture call to actions.

Q: Is there a method to export the full Detailed Assessment?

A: We just launched into the Private preview the Open API feature, which allows you to extract all the information collected in the Detailed Assessment for all the automation ideas, where this information exists. If you are an Automation Hub customer and you are interested in using the Open API during the Private Preview, please join the UiPath Insider program https://www.uipath.com/insider/ and register your interest for the feature. The Open API will be made available for all the users in a 4-6 week timeframe.

Q: In the first questionnaire which business needs to answer to submit the idea, is it possible to include one more question or even change a question if necessary? Or is it all standard for all?

A: Currently this questionnaire is standard. You can find in our roadmap a feature that will allow admin users to customize the assessment algorithms (both the high-level assessment, as well as the detailed assessment), that is currently planned for 20.10.

Q: What is the roadmap for the next month to improve the tool?

A: Please check the product portal available here: https://portal.productboard.com/5dc2bamstwgakaqjvajvhubr

Q: Is it possible to export the graphics and/or any data in the decision pipeline?

A: The data from Decision Pipeline is exportable in a CSV file.

Q: When will the application version be available? And the French version

A: I do not really understand what do you mean by "application version". The product is already available for everyone. You can start a trial in less than 1 minute by clicking Try it free in this page: www.uipath.com/automationhub
The French version of the product will be launched by 20.10."

Q: In my organization, we are currently preparing to launch an RPA program and build a CoE, hopefully with UiPath. We are not to purchase any licenses. Is Automation Hub bundled with the purchase of licenses, or is it licensed separately? Thank you

A: Automation Hub has a separate license, that gives you access not only to Automation Hub, but also to unlimited usage of Task Capture within your organization.
In order to buy Automation Hub, you do need to be a UiPath customer (i.e. have another UiPath license besides the Automation Hub one).

Q: My experience is that COE does not use automation goals to bucket ideas - is there a way to turn that off? automations are evaluated by department, not goal.

A: The Automation Goal bucketing cannot be turned off at this point.
If you do not want to bucket by those, select the same automation goal for all your ideas, and they will not be bucketed anymore. In your evaluation by department, we recommend you map the departments in the Hierarchy structure.

Q: Is there any way of editing the wording of the assessment questions? We would be interested on translating them to Spanish to 'democratise' the submission of automation ideas to the whole organisation.

A: At this point, an admin user is able to add additional questions to the assessment, but the answers will not be taken into consideration in the algorithm.
The questions of the assessment cannot be changed now. We are planning for 20.10 to launch a feature that will allow the admin users to customize the assessment algorithms (both the submit an idea question, as well as the default detailed assessment questions).

Q: Does Auto Hub have integration into other apps such as Service Now, Microsoft Project Server, others? Thinking it would be nice to be able to pull resource information into it.

A: We do not have a direct integration with these services, but we just launched into the Private preview the Open API feature, which allows you to extract information from Automation Hub, as well as submit ideas from external sources. If you are an Automation Hub customer and you are interested in using the Open API during the Private Preview, please join the UiPath Insider program https://www.uipath.com/insider/ and register your interest for the feature. The Open API will be made available for all the users in a 4-6 week timeframe.

Q: Do you have an on-premises version scheduled for 2020?

A: The on-premises (customer's own datacenter) is targeted for 2021, whereas an Azure Private Cloud deployment offer is scheduled to be delivered in early 2021.

Q: Do you plan customizing the surveys? (with an impact on the calculations)

Q: How could you introduce other license costs like Orchestrator and Studio? In our case only can introduce attended or unattended license

A: Orchestrator and Studio are shared costs, so they should first be defined in the Admin Console -> Platform Setup -> Cost Setup -> Other Running Costs. After this, you will be able to select them when filling in the Cost Benefit Analysis section of an automation idea. Check a tutorial available here: https://docs.uipath.com/automation-hub/docs/platform-setup-1#section-platform-set-up-cost-set-up  and https://docs.uipath.com/automation-hub/docs/automations-1#section-perform-a-cost-benefit-analysis-for-an-automation

Q: Is there a French version planned for 2020?

A: The French version of the product will be launched by 20.10.

Q: Do you need to break down the costs by stage (i.e solution design, development, etc) and by developer type, or can you just use a 'generic' value. in other words, do does the application require y to fill out all stages and costs, or can you just fill out one.

A: You can fill out only one cost if that applies to your case. The application does not require to fill out the costs for all stages.

Q: What dates are used in the Pipeline Evolution pipeline? can those dates be edited?

A: The dates used in the Pipeline Evolution are the timestamps when the phase and status were updated to the values that make the automation idea sit in one of the 3 buckets (qualified, in implementation, live). The timestamps cannot be edited. More details here: https://docs.uipath.com/automation-hub/docs/analyzing-the-automations-program-performance

Q: How are the estimates calculated in the hub compared to reconciled with the actuals (costs, benefits, etc) post-production?

A: At this point, we do not display in Automation Hub the actual cost savings obtained after the automation goes live. We have in the roadmap 2 improvements - a field to manually fill in the actual benefits, integration with UiPath Insights to bring actual process statistics from Orchestrator. Then you will be able to compare the estimations with the real data.
As for the costs, you can go to the Cost Benefit Analysis page and update the costs to reflect the reality of implementing and running the automation. We do keep in the database a history table with the changes you make, and we will provide a view on what was the evolution of those costs, based on the updates you perform (graph targeted for late 2020).

Q: Is there any viewability into the roadmap and timing so we can plan for future enhancements?

A: Please check the product portal available here: https://portal.productboard.com/5dc2bamstwgakaqjvajvhubr

Q: Is there future scope of linking the information in terms of costs, benefits, volumes, etc with Insights? This would be really good to enable full end to end benefit realisation.

A: An integration with UiPath Insights to bring actual process statistics from Orchestrator is scheduled for Q4 2020.

Q: Is there any way to get in contact directly with the person who submits the idea? Like e-mailing if anything is unclear/needs more clarification?

A: The person who submitted the idea is displayed in the Collaborators page of the automation idea. You can tag that person in a comment, in the automation profile, and the submitter will get an email notification that they were mentioned. You can continue the conversation either in the comment thread or outside of the application. At this point, we do not support an in-app messaging feature.

Q: When does Automation Hub will be available in German?

A: The German version will be available in 20.10.

Q: Will the OpenAPI be included with the standard Automation Hub licensing or will it be a separate license to use?

A: We just launched into the Private preview the Open API feature, so if you are an Automation Hub customer and you are interested in using the Open API during the Private Preview, please join the UiPath Insider program https://www.uipath.com/insider/ and register your interest for the feature. The Open API will be made available for all the users in a 4-6 week timeframe. It will be included as part of the Standard license.

Q: How can you share flexible costs like Infrastructure, licenses or support cost across all the automations ideas submitted in the Automation Hub

A: Infrastructure, some software licenses, and support costs are shared costs, so they should first be defined in the Admin Console -> Platform Setup -> Cost Setup -> Other Running Costs. After this, you will be able to select them when filling in the Cost Benefit Analysis section of an automation idea.
In the case of the RPA software licenses, you can override the value computed by the algorithm (how many licenses are recommended to be provisioned simultaneously), if you want to reflect more accurately the utilisation of the license. In case of the other running costs, you can modify the FTEs or the % which is applicable to that cost, in the specific automation idea.
Check a tutorial available here: https://docs.uipath.com/automation-hub/docs/platform-setup-1#section-platform-set-up-cost-set-up  and https://docs.uipath.com/automation-hub/docs/automations-1#section-perform-a-cost-benefit-analysis-for-an-automation

Q: is there a way to edit the personas and the rights for each persona? For example, using the submitter's to assign a Business Unit it challenging as the COE may be entering automations.

A: We have planned to add an improvement (changing the submitter of the idea), to cover this scenario.
As for the rights for each collaborator in an automation idea, you can granularly decide for each user whom you add as a collaborator which sections of the automation idea they can edit.
Furthermore, we have in our roadmap a feature to granularly modify the rights for the platform permission groups, as well as creating your own permission groups.

Q: Can you change the way processes are prioritized? By default, it looks like they get prioritized based on hours savings, but we may want to modify based on other factors. Can you set custom priority view (similar to manual priorities set in JIRA or Trello boards?)

A: Now they are prioritized in the following way: first, they are grouped by automation goal, next by automation area, third by the ease of implementation, and lastly, by hours saved. You cannot set a custom priority, but this need will be covered in the Q4 2020, when we plan not only to allow customizing the high-level assessment & default detailed assessment but also to set up custom priorities and sort based on that.

Q: What is the timing for releasing the on-prem version of Automation Hub as our organization only allows limited use of SaaS products.

A: The on-premises (customer's own datacenter) is targeted for 2021, whereas an Azure Private Cloud deployment offer is scheduled to be delivered in early 2021.
We are open to addressing the organization's concerns around the usage of the SaaS product, as well as provide visibility on our certifications.

Q: When will the multiple tenants be available approx?

A: Multi-tenancy is targeted to be released in August 2020.

Q: I'm assuming a video will become available this and next ones?

A: Yes, we will share the webinar videos, the slide deck, and the answers on the UiPath website, webinars section.
